Guests confirm their own details. Companies bringing guests name and swap their own people. Anything that costs money or a spot comes to you to approve.

Orchard Robotics swaps Sam Whitaker for Ian Fletcher on their own page for the Northstar Partner Summit. Marcus Bell enters his own flight, UA 1172, on his phone. Both land in the organizer’s changes as done. Then Orchard Robotics asks for an extra night for Marcus, and that one waits for the organizer to approve it.

The rules stop living in your head.

The room block, the limits, who is booked into what. It’s all in the event, your team can see it, and every change shows who made it.

You’re out until Monday, and Nina Brooks is covering. Marcus Bell texts her: “Can my wife come to the dinner Wednesday?” She opens his record in the event, sees Table 4 has 7 of 8 seats taken, adds Laura Bell, and answers: “Yes. She's at Table 4 with you.” The record shows she made the change.

You find out before the guest does.

Every room night and activity seat is counted against what you have. An oversell shows up the moment it happens, not at the front desk.

Leah Cole from Keystone Builders gets a king at Casa Sonora for Tuesday to Thursday. Tuesday and Thursday still have room. Wednesday goes one king over the hotel’s block, and Fomatic flags it the moment the room is placed, weeks before anyone checks in.
